New Version Of PCG Deployed

The new version includes many fixes and the following features:

Immediate notices
    When viewing appointments in PCG, there is a new 'Send Immediate Notice' button to send notices to selected appointments.

    PCG: Send Immediate Notices

    First, filter the appointment view so only selected appointments to send notices are shown.
    Then when the button is clicked, you can select a specific notice to send:

    The set of notices are defined in the appointment reminder settings menu option.

Recalls (from Practice Managment Systems)
    Recalls are similar to appointment reminders. Rather than remind patients of an existing appointment, recall notices allow patients to schedule follow-up appointments. Recalls are now fully supported, including the ability to send recall letters.
Reports
    PCG now has a report framework that allows reports to run either manually or as scheduled task. PCG allows automated report scheduling at specific times or after specific events (like after sending a mailing). Initially there are 3 reports available – a mailing report, a detailed reminder report and a reminder summary report.

    Report settings can also be saved.

Statement enhancements
    A number of enhancements were made to statement generation.

    Some new columns are available for the transaction section:
    • Units Column
    • Insurance Payment Amount
    • Patient Payment Amount

    Enhanced MedFX support

Letter generation enhancements
    Letters can now include embedded tables that can get filled from data sent from a PMS system. (We are using this in the custom Medical Manager PBM module.)

    The tables can also include column totals that the letter module will calculate.


New Statement Generator Features

The following is a list of the main new features in the latest version of the MicroMD statement generator:

Undo
    An "Undo" tab shows numerous settings such as previous runs, the number of statements generated, etc.... A "View Settings" button lets you browse the settings that were specified when the statement generator ran.

    For a given database and practice, information must be undone starting with the most recent statement run. For older runs, an undo is possible once everything more recent is undone.

    Notes:

    Sites using the statement generator with multiple databases, a database filter allows filtering by database.
    Sites using the statement generator with multiple practices, a practice filter allows filtering by practice.
    Optionally, turn on/off showing previous undone statement generator runs.

Grouping by Filing Status
    There is a new option for grouping transactions on the statement. For previewing, this can be set within the statement generator in the preview options screen.

    To use this setting for your statements, you will need to set this within PCG, in the Mailing->Statement Layout menu.

    You will also need to generate statements with “Show Insurance Responsible” checked in order to see the additional insurance information.

    To turn this option on, check the “Group By Filing Status” and click “Save” to save the settings.

    When this option is turned on, the statements will have transactions separated by filing status, and will look similar to this:

Override the practice return address and the pay-to address
    The “Output” tab shows overrides for both Practice Return Address and Practice Pay-To Address
    If the phone is left blank on either of them, the phone will be left blank on the statement.

    The return address is shown in the statement's upper left window.
    The pay to address is shown in the bottom right of the statement and in the envelope's return window.
    The pay-to phone is shown as the billing question phone number on the top part of the statement and on the bottom right, as shown here:

Only show aging categories that are used
    When full aging is shown on the statement, it shows only the aging buckets that have data.
    For example, if the aging buckets are 0-30, 31-60, 61-90, 91-120, and over 120, but there is no aging greater than 70 days, then only the first three aging buckets are shown.

    Additional buckets at the end often make the patient believe they have additional time to pay. Removing them conveys a subtle sense of urgency.

New “Units” column
    The transaction section now has the ability to include a “Units” column if desired.

Miscellaneous
    In addition to the list of features above there were many changes made to handle some unusual situations that can occasionally occur.

Note:
    On the statement tab, there is a new setting “Treat insurance billing as insurance responsible”. This should always be set unless specifically instructed otherwise by Micro-Office staff.

LANtek annual User Conference.

Micro-Office was invited to attend the LANtek 2009 Annual User Conference in Pittsburgh, PA. LANtek is a leading MicroMD reseller, offering clinical and billing systems to medical practices. Micro-Office gave several presentations, focusing on our AnyReport reporting tool and Patient Communications Gateway.


PCG Letter module released.

The Micro-Office PCG service now has the ability to send and print fully customized letters to patients. Examples would be practice-wide notifications such as a change of location, doctor or hours; and patient-specific reminders of tests that should be performed. See our PCG web page for more info.

  • Bug Fix: the MultiSelectChooser control now clears contents properly.
  • Bug Fix: patch for custom directory path handles the situation where unique (unusual) layout looks for related report in sibling directory. If AnyReport is installed on a local machine while a custom report is located on a server (or vice versa), there was a problem finding related files; this patch fixes these path issues.

AnyReport Update
09/02/09

AnyReport for MicroMD now supports filling out any PDF form (state, federal, workers comp, etc) with MicroMD data. We can now attach any PDF form to MicroMD and have it prefilled with MicroMD data. You can then manually edit the form if needed and then print out or save the form!

Early-Out Integration
08/26/09

Micro-Office has been contracted to develop integration between a 40-provider clinic and a revenue cycle management company. Early-Out is the process whereby a practice sends patient balances to an outsource firm to collect, with that firm acting as the practice's back-office. Interfaces are needed to send placement and transaction info from the practice, and to update the practice with adjustments to be made, corrections to be made, and items to be rebilled to insurance.

New Conversion Available!

We completed a new McKesson PracticePoint Manager to MicroMD conversion. This includes:
  • Demographics (Patient, Responsible Party, Diagnosis Codes, Procedure Codes, Employer, Facility, Referring Provider)
  • Insurance (Carrier, Plan, Policy)
  • Appointments (Appointment Classes, Appointments, Recall Reasons, Recalls)
McKesson PracticePoint Manager is also known as GBS PracticePoint Manager.

Micro-Office attends AIMSVAR conference in Chicago, IL

Ben, Michael and Norman went to the Windy City for the annual AIMSVAR meeting. AIMSVAR is a national association of healthcare resellers which Norman helped found over 10 years ago. Dozens of dealers attended, as well as many vendors. Norman received recognition for heading the New Products Committee, and Micro-Office was recognized for ongoing sponsorship of AIMSVAR. Norman was re-elected to the position of board affiliate, and to head the New Products committee again for the coming year! We value our relationship with AIMSVAR, and look forward to the further growth of AIMSVAR.



Updated Web site

After many months of hard work, spearheaded by Steve and Dan, we are very happy to present our updated web site. Our goal was to organize information in a way that makes it much easier to find. Try the search box – you will be pleasantly surprised! Rather than making search a generic function, we specifically organized the site so that search will be useful. While we still have a lot of work ahead of us to update more of the content, we felt the timing was right to make this site live since it is already much better than the old web site. Please share with us any feedback!

Patient Communications Gateway (PCG) is now available

Detail: Our new and most ambitious product ever – PCG – made its debut today at the AIMSVAR conference in Chicago. PCG is designed to offer practices a new way to communicate with their patients outside of the office, using the latest technologies – PHRs and SMS Texting – while also seamlessly integrating old technologies – phone and mail. Micro-Office attends HIMSS in Chicago, IL

Detail: Ben and Norman traveled to the Windy City to attend the 2009 HIMSS conference. While walking the exhibit floor, we were happy to see some of the vendors we work with: Henry Schein, NoMoreClipboard, Sage and aPrima. The major attention was all about the stimulus money being showered on healthcare, to the point where we expected them to offer drinks on credit, to be paid for by Stimulus Dollars in 2011… But the real story was the focus on PHRs and interconnectivity. This is what will really help healthcare move forward.
