Custom Conversions

When migrating from one system to another, it often makes sense to convert the data from the old system to the new system. Micro-Office has many years of experience in performing such conversions, to ensure the smoothest process, with the highest level of success.

There are several types of data that can be converted:

• Master Files - these include the lists of doctors, insurance plans, referring doctors, etc.
• Patient Demographics - name, address, birth date, etc.
• Insurance Policies - the policies each patient has.
• Transactions - the financial information related to each account. Depending on the situation, transactions may be converted in detail or summary as follows:
• Open Items - all of the transaction detail, including charges, payments and adjustments
• Open charge balance - all of the charges, with their current balance; the detail of payments and adjustments is not converted.
• Account balance - a simple summary balance for each account, perhaps separated by doctor, by aging, and/or by insurance responsibility.

Whether or not each type of data CAN be converted depends on the availability, compatibility, and integrity of the source (old) data.

• Availability : the data must be in a standard format. This includes readable ASCII files, standard database, SQL or ODBC® formats, or on reports that can be printed to disk.
• Compatibility: the data must be complete enough and similar enough to meet the needs of the new system. For example, if the old system does not apply pmts directly to line items (i.e. it is not "open item"), and the new system requires this, then it will be impossible to accurately convert the old information.
• Integrity: often, a practice is converting to a new system because the old one was not reliable enough. If data corruption exists, then it is often not worth converting.
